Using Time Management to Build Your Brand

Last year one of my clients, Cynthia, asked me to help her prepare for a big interview: a director’s position at a local university. After a successful interview she was offered and accepted the position. But then she faced a new dilemma. It was her first time in this type of role, and she wanted to excel and shine — to get her job done without dropping any tasks/projects along the way, and to look and behave as the leader she and her team wanted and needed her to be.

But a few weeks in, she felt unsure and that she was missing something critical. She called me again and asked if KDIC could help her with her time management and productivity skills. We explored her mindset and current systems for handling these issues and then developed a new plan and set some boundaries and action goals. The result? She’s developed new confidence, leads more efficiently and has a more effective team. After her initial uncertainty she’s building a professional brand that reflects success. She is shining!

The Brand/Time Management Link

Cynthia’s story hints at something that might not seem obvious at first. What is the link between time management skills and your professional brand? At the most basic level, is being on time for meetings and other events part of your reputation and brand? Do others trust you to meet your commitments when promised? Are you seen as productive and efficient, or are you easily “derailed”?

At a higher level, effective time management can promote your long-range brand development. When you manage your daily 24 hours well, you’re able to prioritize, focus and allocate time for networking, content creation, skills development and all of those other actions that lead to a stronger, more visible professional brand.

There are many other ways time management links to your professional brand. For example, here are four more:

  • Productivity – When you manage your time effectively, you accomplish more in less time. This leads to greater productivity and a faster track to achieving what you want to get done, including brand development activities.
  • Consistency & Momentum – Consistent effort is key to building a successful brand. Effective time management helps you stay focused and maintain momentum.
  • Opportunities – When you handle time well you have the chance to identify and seize opportunities that align with your brand development goals, such as attending relevant events, networking and seeking out new projects.
  • Stress Reduction – Poor time management leads to stress and anxiety. By managing your time effectively you can reduce stress, prevent burnout and improve your overall well-being. This not only helps you to develop a healthy work-life balance, but it gives you time to focus on building your brand with greater clarity and confidence.

Principles of Great Time Management

Some people seem to be naturally great at handling their time well. Others seem to struggle to just make it through the next hour in one piece. But if you’re like most people, you’re somewhere in between. You do pretty well most of the time, and general reliability and timeliness are already part of your professional brand. But you’d like to handle your limited time better and have it all be, well, easier.

Here are some fundamentals of time management to think about.

  • Prioritization & Intentionality – You need to understand your true priorities and then decide how you’re going to use your time each day to move toward accomplishing them. There are many systems available to help with this, including David Allen’s well-known Getting Things Done. Another way to organize your priorities by urgency and importance is The Eisenhower Matrix.
  • Consistency & Routine – To manage your time more effectively (and build a strong professional presence along the way) you need built-in routines. Set up a structured schedule for both ongoing and intermittent touchpoints — like updating social media accounts, engaging with professional communities and reviewing your seasonal wardrobe needs.
  • Batching & Efficiency – For efficiency, batch similar tasks whenever possible. For example, set aside blocks of time for writing, or handling your email or making phone calls instead of trying to cram them in between other tasks.
  • Networking & Relationship Building – While always being on the lookout for the unexpected, create a structured approach to networking and building relationships. If you schedule intentional coffee chats or weekly professional engagements you can network effectively while not overwhelming your calendar.
  • Reflection & Adjustment – Time management isn’t about packing as much as possible into every moment of your work and life. Set aside time regularly for self-assessment, collecting feedback from others, learning new skills, and reviewing your priorities and goals. Adjust as needed!
